The services provided will be those outlined in your booking confirmation invoice, and this document forms the entire agreement between Whiskey N Wine and the Client.
2. Taxes, fees & surcharges
All prices are in Australian dollars. Whiskey N Wine is not currently registered for GST, so no GST is charged. Surcharges may apply for:
- Public holidays
- New Year’s Eve
- Events requiring staff to work into a public holiday period
3. Booking on behalf of others
If you book on behalf of another person or group, you accept responsibility for all payments, communicating changes or cancellations, ensuring all information provided is accurate, and keeping all parties informed. You confirm that you have obtained consent from all relevant parties.
4. Acceptance of booking
A booking is confirmed once Whiskey N Wine issues a confirmation invoice. A binding agreement exists from the date the deposit invoice is issued.
5. Booking deposits
All deposits are non-refundable, except where required under Australian Consumer Law. Deposits must be paid within 5 business days of receiving the invoice or the booking may be cancelled. The standard deposit for mobile bar service is 50% of the invoice value. The non-refundable deposit reflects administrative costs and the loss of opportunity to accept other bookings.
6. Glassware security deposit
A refundable $150 glassware bond applies when glassware is included. Unreturned or broken glassware will be charged at $4 per glass.
7. Final payment
Final payment is due 14 days prior to the event unless otherwise agreed. Bookings made within 14 days of the event require full payment at the time of booking. Failure to pay by the due date may result in cancellation.
8. Cancellation by the client
All deposits are non-refundable for change-of-mind cancellations. A cancellation is effective once written notice is received. Cancellation fees:
- More than 14 days before the event: 50% of the total fee
- Within 14 days of the event, or where safe set-up is obstructed: 100% of the total fee
9. Cancellation by Whiskey N Wine
If Whiskey N Wine cancels your booking, you may transfer payments to a new date or receive a full refund.
10. Force majeure
Whiskey N Wine is not liable for delays, cancellations, or losses caused by events outside our control, including natural disasters, pandemics, severe weather and government restrictions.
11. Access and parking requirements
Our mobile bar is 2.6 m high × 2.6 m wide × 5.8 m long including the draw bar. The Client must provide adequate parking close to the set-up location, clear access to manoeuvre the van into position, level stable ground, and access to the set-up area 3 hours prior to the event. We will not park illegally under any circumstances. Please notify us of any access challenges such as narrow driveways, steep or uneven terrain, or long distances from parking to the set-up area.
12. Set-up requirements
The Client must provide 3 power points near the set-up area (we cannot run off double adaptors). Additional fees apply for generator use if site power is not available.
13. Shelter & weather protection
The Client must provide adequate shelter for guests, including cover from rain and storms and shade from extreme heat. If shelter is not provided, Whiskey N Wine may refuse service for safety reasons. No refunds will be issued for weather-related cancellations caused by inadequate shelter.
14. Drink availability
Whiskey N Wine does not hold a liquor licence. All liquor served is to be purchased and supplied by the Client. Due to the mobile nature of our service, drink availability may vary, and we accept no liability for limited stock or unavailable items during service.
15. Drink menus
Beverage selections are to be agreed at the time of booking. Changes to beverage selections may incur additional costs.
16. Liability
Whiskey N Wine is not responsible for loss or damage to property during transport or service, or damage caused by guests, venue conditions or external factors. The Client is liable for any damage to the Whiskey N Wine van and equipment caused by guests or venue conditions.
17. Guest numbers
Final guest numbers must be confirmed 10 days before the event. Additional guests not accounted for may incur additional fees.
18. Photos & marketing
By booking Whiskey N Wine, you consent to us using event photos for marketing purposes and grant Whiskey N Wine a perpetual, royalty-free licence to use these images. If you do not want event photos taken, you must tell us before the event begins.
19. Applicable law
These Terms & Conditions are governed by the laws of Queensland, Australia. Any disputes will be handled in Queensland courts.
20. Liquor licensing & RSA compliance
Whiskey N Wine does not hold a liquor licence but complies with all liquor licensing laws. All staff serving alcohol are RSA-certified and legally required to refuse service to intoxicated guests, prevent underage drinking, and cease service if licensing conditions are breached. Food must be available during alcohol service as required by state law.
21. Staff safety & behaviour
Whiskey N Wine staff must be provided with a safe working environment. Service may be stopped if guests behave aggressively, staff feel unsafe, or conditions become hazardous. No refunds will be issued if service is stopped due to unsafe conditions.
22. Travel, parking & access fees
